Tech Tuesday: Automatically changing Dynamics GP SOP distributions based on business rules

The Flexicoder product is one of the most interesting ones in the mix offered from eOne. Businesses that need it, REALLY need it while the businesses that don't, REALLY don't. Let me explain, when you have an internal business need to track your Sales or COGS (or other accounts) by something other than just the account attached to the item or customer you introduce a manual process. Manual processes introduce humans into the equation and humans make mistakes!

Flexicoder helps you eliminate the time-consuming and error prone processes by defining the business rules one time and having the system automatically apply the rules for each transaction. I will outline two scenarios where you can see Flexicoder applied to change one or more of your account segments based upon the rule you setup.

Scenario 1: Change the first account segment based on Salesperson

One common scenario we see is a need to recode one of your Segments based on a Salesperson or Sales Territory. Both of these options are available to you with a host of others as well. In the image below you can see that it will automatically fill with the values for your Salespeople and then you can assign the values that are appropriate for your business case. The example below shows assigning some of the segments and leaving others to stay with the standard account.


This is a simple example of using the Sales distribution type but you have the ability to recode Accounts Receivable, Cash, COGS, Freight, Inventory, Markdown, Miscellaneous, Sales and Trade Discount types in the Sales Order Processing area and quite a few others in the Receivables area.

Scenario 2: Change the first and third segments based on Salesperson and additional Extender fields

This scenario shows that we can recode multiple segments and can use Extender windows to hold information to recode a segment. In this example I have an Extender window on the Sales Transaction Entry form in Dynamics GP that simple tracks a Subscription Type field as Monthly or Annual. I will see any Extender window attached to the Sales Transaction Entry, Item, or Customer windows in Dynamics GP.


One other thing to point out is that in the image above is the Exception area on the bottom right corner. This is a great tool to have if you need to exclude certain accounts, document types, batches or customers from the predefined process.

Finally, in order for this to work, you simply save the transaction and then pull it up again to view the distributions that have changed.

If you have a need for this try it out in the sample company and see if it will reclaim an hour a day to do something better than change distributions manually.

Two eOne Pros Nominated for 2014 GP Community All-Stars!



FARGO, ND, August 07, 2014 – We are excited to announce that two members of the eOne team have been nominated for this year’s Dynamics GP All-Stars.  Nicole Albertson and Martin Olsen have been selected among 11 other candidates for the 2014 award.

Continued Growth at eOne!

Our new office has steadily been filling up these past 12 months since we've moved and we couldn't be more excited about it! At this rate we overheard Martin debating whether we should get rid of the ping pong table to make room for future employees (no updates on that one)!

Meet Mark Anderson:

Mark joins us as our newest Senior Technical Consultant, who will focus primarily on assisting our ever growing support team. With over 19 years of experience in the Dynamics GP world Mark has a strong developer background. Having worn many hats throughout the years, Mark has also excelled at support and training. He is passionate about helping customers and teaching them how to be able to do their jobs more efficiently.

Outside of the office Mark's top priority is his family and loves spending time with his wife, son, daughter and son-in-law. In the fall you can find him cheering on his favorite football team the Minnesota Vikings! He and his wife are also self claimed Disney fanatics - most winters you will find their family spending a week in the "Happiest Place on Earth" making long lasting memories! To give you a look at how serious the fanatic part is, his wife has a custom license plate that reads DSNYFAN!

Meet Nick Waverek:


Nick has joined as our Marketing Manager. With a diverse background spanning CRM consulting, partner channel development, and product management, Nick comes to eOne from ClickDimensions, the leading Marketing Automation Platform for Microsoft Dynamics CRM. Prior to ClickDimensions, Nick was a Dynamics CRM Consultant for a MSFT Gold Partner in Minneapolis where he specialized in marketing process planning. He also operated his own consultancy architecting and implementing a wide variety of online productivity and SAAS based sales/marketing technologies. We are excited for the transformations and enhancements he will add to the eOne experience.

Expecting their first child in the next few weeks, Nick and his wife live here in Fargo, where he enjoys photography, playing and watching hockey, hunting, fishing, and various technology based projects. Secretly (well I guess not secretly anymore…) he is really, really bad at Ping-Pong, but he’s working on his game and simultaneously assisting the rest of the eOne team with their winning streaks. A Business Manager's Perspective on The Ease of SmartView


Upon being employed as the Business Manager at eOne, I realized my most valuable tool was SmartView. Not only for fast reporting, but because it was extremely easy to learn. 

I had never used GP, only other accounting software like Quickbooks. When learning GP, one of the most frustrating parts for me was to see if someone had paid their renewal and what method they used to pay. Or if someone would call, to have quick access to the invoices they were referencing and all the information in one spot. I thought, why does this have to be so painful?! 

With the help of our SmartList Builder Expert, Nicole Albertson, we were able to customize a couple of lists for me to move into SmartView and also manipulate the canned lists that were already existing within SmartView. It took me a couple days of just playing around with SmartView to really grasp what I could do with it. I now have approximately 25 favorite lists I’ve created myself. These range from daily sales, to monthly sales, to project accounting tracking for commission reports. The greatest part about this is I can share these lists with whomever I want in our office!

I also have had several chances to install SmartView. It’s a running joke at eOne as to when I will break my next computer. I’m on number 3 so far and I’ve only been here for 10 months. With each computer I’ve had to reinstall SmartView External and all I needed to know was the server name (I know this by memory now). So the ease of install is incredible (no nerd involvement needed).  ;)

SmartView took me a very short time to learn and I’m now able to give demos on the product. If you can use a mouse, you can do a SmartView demo. This product saves me around 5-8 hours a week of admin time and I highly recommend it as it is truly my favorite tool here at eOne.

Tech Tuesday: SmartConnect Web Service Destination

This week's Tech Tuesday is from our Senior Technical Consultant, Chris Hanson, who has provided a video demonstration on SmartConnect's web service destination! 

This week we are looking at using the web service destination within SmartConnect, which allows for integrations that can be setup to systems or web sites that use web services as their primary means for communication. The setup for the web service destination is a two step process where the web service connection has to be defined initially and then after that it can be used in any map you setup. There is also an option to use a web service as a data source which we will cover in a future article to illustrate how to pull data out from them as well.

The Easiest Way to Find Tables in GP - Table Finder (SmartList Builder)

We love it when customers jump in and take advantage of new product features. Last week we received a message from a long time customer who shared her love of Table Finder - one of the 8 new features we added with our build of SmartList Builder for GP 2013. 

"Hey Martin - 

I just had to drop you a note to tell you that Table Finder is my new favorite feature in GP! 

I use it time and time again to figure out what is where, especially when dealing with new things.  Right now I am setting up the HR system and I opened my master excel sheet that has all the tables list in it (old way to find tables), I was overwhelmed with where to even begin to find what I needed and then I remembered TABLE FINDER!!  5 seconds later, I have my answer!!!
