The Easiest Way to Find Tables in GP - Table Finder (SmartList Builder)

We love it when customers jump in and take advantage of new product features. Last week we received a message from a long time customer who shared her love of Table Finder - one of the 8 new features we added with our build of SmartList Builder for GP 2013. 

"Hey Martin - 

I just had to drop you a note to tell you that Table Finder is my new favorite feature in GP! 

I use it time and time again to figure out what is where, especially when dealing with new things.  Right now I am setting up the HR system and I opened my master excel sheet that has all the tables list in it (old way to find tables), I was overwhelmed with where to even begin to find what I needed and then I remembered TABLE FINDER!!  5 seconds later, I have my answer!!!

Tech Tuesday: How to Change the SQL Server for SmartView External

Take a look at one of our helpful articles on SmartView from Nicole Albertson. You can search the Knowledge Base section of our website for articles on any of our products. It has been known to help lots of people sort through common support questions. Take a look at it when you have a moment! 

SmartView External hold the SQL Server name in the SmartView.exe.config file.  If the SQL Server that Microsoft Dynamics GP resides on is moved, this will need to be changed for SmartView External as well.

To change the SQL Server, follow these steps:

  1. 1. Open the SmartView.exe.config file.  By default it is installed in one of the following locations.
    1. 32 bit OS:  C:\Program Files\eOne IntegratedBusinessSolutions\SmartView
    2. b.      64 bit OS:  C:\Program Files (x86)\eOne Integrated Business Solutions\SmartView

  2. 2. Find the following line:  xxxxxxxxx" />

  • 3. In the value, enter the name of the SQL Server that Microsoft Dynamics GP is installed to.  If it includes an instance name, be sure to include that.  If desired, instead of the name, you can use the IP address, port number.

  • 4. Find the following line: 
  • In the value, if the system database name is not DYNAMICS in the current Microsoft Dynamics GP installation, enter the correct system database name.  If it is DYNAMICS, just leave the value in this line at DYNAMICS.

  • 5. When completed, the file should look something like the following.

    6.  Save the File.

    Once you have changed the SQL Server information in the config file, launch SmartView External and verify that it is pointing to the data on the new server.

    Tech Tuesday: What version is what in SmartConnect?

    We have recently released SmartConnect 2014; for more information on the initial release, check out our blog post on it from last week here. Chris Dew, our Director of Product Management, will ease any confusion when it comes to different SmartConnect versions below.
     
    We have quite a few people that ask what version of SmartConnect is needed for a specific version of Microsoft Dynamics GP or Microsoft Dynamics CRM. The new architecture we introduced in 2010 has allowed us to remain independent of specific versions of products for the most part. As with many ETL tools, we are always introducing new technologies as they are made available. For example, SQL Server 2014, gets added to our list of supported datasource and destinations.

    Below I have prepared a couple of key releases you will want to note for the major versions:

    SmartConnect 2014
    • Microsoft Dynamics GP 2013 R2, 2013, 2010, 10
    • Microsoft Dynamics CRM 2013, 2011, 4.0 and Online
    • Salesforce.com
    • SQL Server 2014, 2012, 2008, 2005
    • Webservices as datasource and destination
    • Excel add-in for Excel 2013, 2010

    As you can see the newest version of SmartConnect should have you covered for most versions of Dynamics GP and Dynamics CRM. We have seen a few customers using SmartConnect to migrate from older versions of Dynamics GP (5 and 6) or from Dynamics CRM 4.0 to 2013 or the Online edition. You won't need to worry about loading any older versions of SmartConnect to go back this far. The only thing I would point out is that we do require SmartConnect to be loaded on a SQL Server 2005 or greater database when you are migrating.

    As we look to the near future where we can make additional connectors available, we are especially excited about the "DexNext" services oriented approach. When we add this connector for Dynamics GP 2015 it will open up many more integration points to Dynamics GP and ISV products ensuring that the same business logic is used whether you enter the data inside of Dynamics GP or from SmartConnect. Will eConnect still be around for a while? Absolutely, but Microsoft will be pushing the architecture and I think it will make Dynamics GP have the best integration story with SmartConnect out there!

    eOne now compatible with Microsoft Dynamics GP 2013 R2

    Today is the day many of you (like us) have been looking forward to! We are excited to announce multiple product releases today, many which are needed to be compatible with the Microsoft Dynamics GP 2013 R2 release that was posted by Microsoft on May 28th.

    We have posted new installs of the following products:

    Extender 2013 (12.00.0103) - This release includes the compatibility for Microsoft Dynamics GP 2013 R2 as well as many other small fixes. Please see the Extender 2013 Release Notes for the changes.

    Flexicoder 2013 (12.00.0011) - This release includes the compatibility for Microsoft Dynamics GP 2013 R2 as well as a few fixes around the RM documents. Please see the Flexicoder 2013 Release Notes for the changes.

    SmartList Builder 2010 (11.00.0059) - This release includes a few new features including the Table Finder and Preview. It also includes a change to the Date formatting in Excel Report Builder. Please see the SmartList Builder 2010 Release Notes for the changes.

    With SmartList Builder 2013, there are now two releases to be aware of:

    SmartList Builder 2013 - Pre R2 (GP Build 1744 or less) (12.00.0067) - This build is for those users NOT on the Microsoft Dynamics GP 2013 R2 release. This release includes many different fixes. Please see the SmartList Builder 2013 Release Notes for the changes.

    SmartList Builder 2013 R2 (GP Build 1745 or higher) (12.00.0068) - This build is for those users that ARE on the Microsoft Dynamics GP 2013 R2 release. This release includes the compatibility for Microsoft Dynamics GP 2013 R2 as well as many other fixes. Please see the SmartList Builder 2013 R2 Release Notes for the changes.

    SmartView 2013 Internal (12.0.25) - This release includes a few new features.  We have added the ability to run Receivables and Payables Trial Balances. You can also now Drag and Drop fields onto the list as well as copy single fields instead of having to copy the entire row.  Please see the SmartView 2013 Release Notes for the changes. SmartView was previously already compatible with Microsoft Dynamics GP 203 R2, so this release just adds new features.

    The releases of SmartConnect, Node Builder, and SmartPost that are currently available for download are compatible with any release of Microsoft Dynamics GP 2013.

    New Releases of SmartView 2013 and SmartView External

    We are happy to announce that we have released new builds of SmartView 2013 and SmartView External, which you can find here.  

    The major change to SmartView and SmartView External is allowing them to take advantage of the new SmartList Builder features such as the Auto Refresh and Modify/New buttons.

    There is also a new feature for the viewing of the different document statuses. Depending on the transaction list you are running, you will have the option to mark a status to quickly view only the documents that match that status.

    The look and navigation of SmartView and SmartView External has also changed to update the icons and display grids.

    Tech Tuesday: SmartList Builder 2013 no longer requires Service Pack 2

    Due to a high volume of requests, we have built a version of SmartList Builder with our new features included that now works with any release of Microsoft Dynamics GP 2013

    All of the new features in the latest SmartList Builder 2013 release will work with any release of GP 2013. There is just one small portion of the release that won't be available until Service Pack 2 is installed. This is the option to hit the New and Modify buttons in SmartList to open SmartList Builder directly from SmartList and create either a new SmartList or Modify an existing SmartList.  If Service Pack 2 for Microsoft Dynamics GP isn't installed, you will have to open SmartList Builder from the menu and then create a new one or modify and existing SmartList.

    Tech Tuesday: 3 SmartConnect Features You May Not Yet Know About


    While in Anaheim this week, I sat down with our Senior Technical Consultant – Chris Hanson – and asked him his top 3 features in SmartConnect that our partners and customers out there may not yet be taking an advantage of. Here are his favorite features:

    1.       Multi-lookup:allows users to pull in any fields off a record that exist in CRM. For example, you could default contact info from a parent account.

    2.       Multi-data source: allows users to join any data source together in one map. For example, you can have a file with your GL entry information in it and join that to the account master table in GP – so you pull the rest of the account information with it to ensure that each account exists.

    3.       New Excel Template Creator: allows you to choose an entity or node and walks you through creating the template with an easy to use wizard. The Excel template creator builds the spreadsheet, vba, and the map for you.

    Send Your SmartList Builder Feature Requests Our Way!

    It has been a great week with our friends here in Tampa, at the GPUG Summit. If you weren't able to make it to the Summit this year, please do consider joining us at Convergence or at next year's Summit in St. Louis, MO.

    In Tampa, we've loved hearing about your excitement around SmartList Builder and all it contains - Excel Report Builder, Drill Down Builder, and Navigation List Builder. (It's always fun to have to add 3 rows of chairs to a room already packed with 105 people waiting to learn more about the Builder tools!)

    With SmartList Builder coming home to eOne starting January 1st, 2014, we want to make sure you know that now is the time to send in feature requests! Start asking yourself:

    1. If there's any change in SmartList Builder that I'd like to see, what would that be?
    2. What addition to SmartList Builder would help my daily processes?
    3. What SmartList Builder feature could be enhanced or added to save me time?

    Tech Tuesday: New SmartConnect Build Released

    For today's Tech Tuesday, we'd like to announce a new build of SmartConnect released today: SmartConnect SP1 HF1 (service pack 1, hot fix 1). The build number is 20.13.1.80

    We had a few issues from our previous build that we wanted to address right away:
    Dynamics GP Connector
    ·          10660 - Issue upgrading connector settings from versions of SmartConnect earlier than 2012 SP2.
    ·          10667 - Error saving an Extender 2013 window that contains a list field.
    ·          10668 - In some instances eConnect incorrectly called twice for Dynamics GP 2010 destinations.

    Dynamics CRM 2011 Connector
    ·          10666 - Incorrect error message when SmartConnect checks change tables.
    ·          10670 - Object not found error in multi column lookups.

    Generic Connector
    ·          10669 - Error when restricting out lines in SQL stored proc destination.

    Release Info on SmartConnect 2013, Service Pack 1

    We are very excited to release SmartConnect today!

    Service Pack 1 for SmartConnect 2013 has over 40 new features added along with several fixes. Here are a few of the really exciting features and the download below:

    Multiple Datasources – You can use the feature to pull data from an Excel Sheet, a SQL Table and CRM all at one time without creating calculated fields.

    View Event Logs inside of SmartConnect – This feature will give a SmartConnect user access to view the Windows Event Log messages from across machines on the network directly inside of the program.

    Folder Real-Time Triggers – Now you can have a map trigger immediately after you place the integration file in a directory. Scheduling this before was pretty good but now it runs right away.

    Extender eConnect Nodes – The GP2013 Extender Nodes are REALLY nice now. It will allow you pick your window and it actually bring back the fields you have on that window. This makes mapping Extender information even easier than before. Additionally, you can add as many Extender windows and forms as you want.

    Web Service as a data source or destination (we had destination before) – The ability to add any web service that has a defined WDSL as a datasource was added with this release. We had previously added the ability to use a web service as a destination and with this new functionality, we can pull or push information right from inside of SmartConnect. If you are on Dynamics GP 10, 2010 or 2013 , using MS CRM or SalesForce, you will find that this version will give you a great experience as you upgrade.

    Tech Tuesday: Sales Order Import with GL Distributions

    Today we are privileged to have our first guest Tech Tuesday author, Janeece Moreland, Managing Consultant/Business Process Change Agent for Conexus SG, sharing her insights into Sales Order imports with GL Distributions. 

    To learn more about Janeece and Conexus, please take a look at their bios at the end of the article.


    The purpose of this example is to provide the technical user with the details of how to create a map with a SQL Select statement and group data appropriately on the detail map functions. 


    The original map provides Distribution lines, EFT imports, Post Import SQL tasks and Rolling columns. We will be exploring only one portion of the map in this article.

     
    Problem Statement: A user has provided you with an excel spreadsheet with Customer, item description, line amount, GL account numbers and distribution references to be imported as Invoices.


    Issue: When you have one source line of data you will need an Accounts Receivable offset account and group the data for 1 invoice, multiple line items and multiple GL distributions.


    Example: Our example today will create a Sales Invoice, Line Items, and distribution lines with distribution references.   The complication in the data is the distribution lines normally sum based on the account number on the item but we are supplying the account number instead.  In addition to the GL distribution, we want to provide the distribution reference which will be shown in the financial detail when the Sales Transaction is posted in the General Ledger. The Customer Number will be used to group the data on the Create Sales Transaction.

    First, we will look at the ODBC connection.

    The data is provided in an Excel file format but we want to control the fields that will be used.  The following selections were made:

    Data Source: ODBC Connection.

    Connection Type:  Custom Connection

    Connection String:

    Excel Workbook:

    Key Fields: CustNbr 
     




     
    Select Workbook







    Select the Drive+Path+Name of File




    Our next step will be to select the data from the Excel spreadsheet.
    This will be entered in the data source.  An explanation of each field and its use is listed below:

    The Statement accomplishes the following functions:
    ·         TrxType - It establishes the type of transaction.  The assumption is that all these transactions are invoices.  Additional select statement functions can be added to create Returns if needed.
    ·         Customer Number - used for the SOP Header and the Payment
    ·         Invoice Date - Used for the SOP Header
    ·         Item Number  - used for the SOP lines
    ·         Quantity - used for the SOP Line
    ·         Item Desc - used for SOP Line
    ·         Unit Price - used for the SOP Line
    ·         Document Amount - used for the SOP Header, Payment and Cash Distribution
    ·         EFT Date - used on the Payment map
    ·         Distribution Reference - this could have been concatenated from the Item and Item Desc but the user wanted to have the flexibility to use it for additional maps.  If the user types over the GP field length of 30 characters, the select will truncate the text.
    ·         GL Account  - used on the Distribution map
    ·         DistType - used on the Distribution map
    ·         Unit Price - used for sop line and distribution map
    ·         Credit and Debit Amounts are used on the distribution map
    ·         The UNION statement creates another line item that will be used for the distribution.

    Grouping Data
    Grouping Data imports the data into the GP Sales Invoice by Customer Number based on the default set on the high level map.

    MAP: Create Sales Transaction
    Notice that the Group data is checked but the CustNbr is not checked.  The default is the Key field from the Data Source.



     
     

    MAP: Add line item
    Customer Number and Item Description are selected in this map. The item description was selected since the item number does not exist in the Inventory. The items are non-inventory items. The default is the Key field from the Data Source.
